Position: Program Assistant I - Eligibility/Fiscal Specialist CCAPLocation: 1433 Hooper Avenue, Toms River, New Jersey 08753Salary: $32,760/per yearCHSofNJ Benefits: Medical, Dental, FSA, Life/LTD, PTO, 403(b)Education Requirements:Position requires a minimum high school diploma; prefer a two-year college degree or other additional training beyond high school.Work Experience Requirement:Two to three years proven experience working in a professional office environment.Primary Job Responsibilities:Follow contract driven customer service techniques so that parents and providers are given appropriate technical assistanceResponsible for complete maintenance of NJCK cases Assimilation of the regulations and procedures under which these programs operateAbility to assess program eligibility for any CCAP case including the Kinship programWrite and send preliminary and final agreementsResponsible for learning state software (CARES; EPPIC)Enter child care agreements onto CARESUpdate client addresses in CARES and NDS for accuracy purposes Utilize NDS for client information, technical assistance entries and general case documentationAccurately track and act on all paperwork due dates Applicant must learn the process of re-determinations and issuance of termination notices as necessary Monitor and track all parents who have had their child care subsidies suspended or terminated as a result of program violationsManage child care problems and/or complaints about/from providers Communicate effectively with parents regarding program regulationsCommunicate effectively with providers regarding program regulations/payment issuesConduct payment analyses to resolve payment discrepanciesAdvise providers about payments madeReview periods of service with providers so paper attendance logs can be created for payment purposesShow due diligence to prevent duplication in the issuance of vouchers to providers for payment purposesDistribute all pertinent information to providers about these discrepancies (i.e.: denial or issuance of attendance log)Maintain database of attendance logs issued for agency useContinue to update database of client caseload assignedUpdate all subsidy databases as directed by managementCreate attendance logs as needed for paymentCalculate payments needed on attendance logs created for adjustment purposes Enter adjustments in EPPIC (E-child care software)Enter attendance logs on EPPIC for payment to child care providersManage complaints from providers regarding paymentsDistribute all pertinent information to providers about discrepancy requestsSecondary Responsibility:Receptionist duties as necessary when the reception area is unmanned:Cover receptionistu2019s break/lunch dailyAssist in covering reception area when receptionist is out for one or more daysDuties include answering telephone and directing calls to appropriate staff members; posting mail; opening delivered mail and placing it in staff mailboxesOther duties as assigned by supervisorKnowledge of administrative and clerical procedures and systems such as Microsoft programs, managing files and records, and other office procedures and terminology. Flexibility to perform a range of tasks and an ability to work independently as well as within the unit is needed. Excellent computer skills are required and knowledge of Microsoft Office Suite. Employee must have good people skills and have a pleasant telephone manner.
