Summary Responsible for supporting department leadership and staff in efficiently managing daily rail equipment operations. This role also oversees inter-departmental and cross-functional deliverables and provides direct supervision to the Office Supervisor. Roles and Responsibilities The specifications outlined are intended to present a descriptive list of the range of duties performed by employees in this position. Supports DGM Equipment's senior staff with research and information gathering, communicates with other department and organization members, tracks staff responsibilities, and follows up on deliverables. 2. Assist the DGM, Equipment, including the handling of various forms of correspondence and communications, especially those of a sensitive/confidential matter. 3. Works closely with DGM Mechanical Senior Staff, to follow up on deliverables for senior management. 4. Manage human resources matters within the department by assisting with the structure and organization of the DGM Mechanical's team: examining ways to improve work efficiency, analyzing employee grade levels and salaries, identifying savings, writing draft job descriptions, creating position requisitions, and optimizing office space utilization. Act as a liaison between recruiters and the DGM Mechanical Department on vacancies. 5. Analyzes budget variances and oversees department expenditures to ensure financial efficiency and compliance with established guidelines. 6. Office Supervisor role to ensure all responsibilities associated with the role are timely and properly completed. Investigates open issues requiring a strong understanding of Oracle to ensure timely completion of requests. 7. Provide oversight and guidance on time and attendance policy with expertise and knowledge of Kronos Dimensions. 8. Works with the DGM Mechanical to ensure all DGM senior staff/directors/managers/supervisors complete Performance Management responsibilities, including annual goal setting, mid-year reviews, and year-end performance plans. 9. Performs special projects and other duties as assigned/directed. This Position Supervises: Education, Experience and Qualifications Minimum: Bacheloru2019s degree in liberal arts, Business Management, or related area from a U.S. Department of Education accredited college or university and three years' experience relevant to operations coordination. Any relevant combination of education and experience can substitute for the educational Requirement. Experience supporting senior-level management. Experience managing department budgets. Knowledge and Skills: u2022 Minimum: u2022 Knowledge of NJ TRANSIT policies and procedures. u2022 Demonstrated proficiency using Microsoft Office Suite (i.e., Word, Excel, Access, PowerPoint). u2022 Working knowledge of Oracle. u2022 Demonstrated organization skills and the ability to work independently and meet deadlines. u2022 Must have the ability to manage multiple priorities in a rapidly changing environment. u2022 Excellent written and verbal skills, organizational skills, and demonstrated leadership qualities. u2022 Ability to work with discretion on confidential and sensitive information. u2022 Established reliability in punctuality and attendance a must. Preferred: u2022 Knowledge of M of E department operations preferred.
