DescriptionSummary ObjectiveThe purpose of this position is to coordinate schedules, meetings, logistics and equipment for the Civil Service and Police Merit Boards, and civil service division activities. Recruit assessors for Fire, Police, & Corrections promotional exams and facilitates assessments.This class works independently, under limited supervision, reporting major activities through periodic meetings.Examples of DutiesESSENTIAL FUNCTIONS The essential functions listed below are those that represent the majority of the time spent working in this class. Management may assign additional functions related to the type of work of the class as necessary.u2022 Reviews project completion schedules and logistical issues and discusses with management timeframes, deadlines and cost. u2022 Research information collects data and maintains database records to track projects and to generate progress reports. u2022 Prepares status reports on projects, correspondence and documents and completes special projects. u2022 Coordinates the scheduling of board meeting including canvassing board members, contacting attorneys and securing locations and equipment. u2022 Screens proposed agenda items and determines appropriateness for addition to agenda and compliance to board rules. u2022 Coordinates scheduling and logistics for major promotional exams. u2022 Contacts and coordinates exam assessor scheduling and logistics. u2022 Transports and delivers documents and materials to board members, attorneys and others and transports supplies and equipment to exam locations. u2022 Sets up meeting and exam locations. u2022 Assists in personnel selection exam administration. u2022 Monitors division budget and expenditures. u2022 Processes open records requests by gathering and submitting requested information to the appropriate party. u2022 Provides customer service to job applicants. u2022 Coordinates schedules with other Metro departments and citizens who requests to address board members at meetings. u2022 Prepares agendas, addendums, and minutes for board meetings. u2022 Orders criminal record checks for other departments as part of the hiring process and relays results. u2022 Recruits assessors from the public safety departments of other municipalities for promotional exam assessments, while ensuring required demographics of assessors. u2022 Arranges travel and lodging arrangements for assessors. u2022 Negotiates and coordinates with outside vendors regarding the provisions of services related to exam assessors and board proceedings. u2022 Performs related work as assigned.Minimum RequirementsMINIMUM EDUCATION AND EXPERIENCE REQUIREMENTSu2022 Bacheloru2019s degree in human resource management, paralegal, business or public administration or related discipline. u2022 Two (2) years of project planning, paralegal, administrative coordinator or administrative specialist experience or an equivalent combination of education, training and experience.OTHER MINIMUM REQUIREMENTSu2022 Must provide one's own source of transportation. u2022 Must possess and maintain a valid state driveru2019s license with an acceptable driving history.PHYSICAL DEMANDS Physical demands refer to the requirements for physical exertion and coordination of limb and body movement.u2022 Performs sedentary work that involves walking or standing some of the time and involves exerting up to 10 pounds of force on a regular and recurring basis or sustained keyboard operations.UNAVOIDABLE HAZARDS (WORK ENVIRONMENT) Unavoidable hazards refer to the job conditions that may lead to injury or health hazards even though precautions have been taken.u2022 None.AMERICANS WITH DISABILITIES ACT COMPLIANCELouisville Metro Government is an Equal Opportunity Employer.
