We’re hiring an Administrative Specialist to support property management, business services, and administrative operations across the organization. This role is ideal for a detail-oriented, proactive professional who enjoys coordinating across teams, managing operational details, and contributing to efficient, well-run business operations. You’ll partner closely with Administration, Accounting, IT, and external vendors to ensure accuracy, compliance, and smooth day-to-day execution. What You’ll Do: Maintain and manage the lease system of record, ensuring accuracy of data, key dates, and documentation Track lease milestones, security deposits, accelerations, and related financial details Coordinate with Accounting and Accounts Payable to ensure accurate lease payments and expense allocation Develop dashboards and reports to improve visibility into lease and portfolio data Assist with office openings and closures, including utilities setup/termination, internet coordination, and physical logistics Partner with IT to support internet installations, service coordination, and billing Manage business licenses, registrations, and renewals to ensure compliance with state and local requirements Support insurance administration processes, including annual recertifications and documentation Assist Business Continuation initiatives, including workflow tracking, dashboards, and testing coordination Provide backup administrative support to the Administration team as needed Maintain confidentiality and ensure compliance with internal policies and applicable regulations What You Bring: High school diploma or equivalent required; associate’s or bachelor’s degree in Business Administration or a related field preferred 3-5 years of administrative or operational support experience, preferably in property management or business services Strong understanding of lease administration, vendor management, and basic accounting principles Proficiency in Microsoft Office (Excel, Outlook, Word, PowerPoint) and experience with databases or reporting tools Excellent organizational, analytical, and time management skills Strong written and verbal communication skills Ability to manage multiple priorities with accuracy and attention to detail Proven ability to work independently and collaboratively in a team environment Why Join Northpointe?
