Description We are looking for a detail-oriented Administrative Assistant to support senior executives in a dynamic financial services environment. This Contract position, based in Orlando, Florida, offers the opportunity to provide essential administrative services while collaborating with various departments. The role requires exceptional organizational skills, confidentiality, and adaptability to manage multiple priorities effectively. Responsibilities: u2022 Manage and coordinate executive calendars, scheduling meetings and conference calls to optimize time and efficiency. u2022 Arrange complex travel plans, including itineraries, accommodations, and transportation, ensuring cost-effectiveness and timeliness. u2022 Prepare, review, and submit expense reports promptly while adhering to company policies and budget guidelines. u2022 Maintain department budgets by tracking expenditures and assisting in financial reporting processes. u2022 Organize, update, and safeguard filing systems to ensure document accessibility and compliance with confidentiality standards. u2022 Draft, proofread, and edit correspondence, presentations, and reports to ensure accuracy and professionalism. u2022 Support onsite and offsite company meetings by handling logistics and contributing to team-building efforts. u2022 Respond to information requests with professionalism, demonstrating a proactive approach to problem-solving. u2022 Handle additional projects and tasks as assigned, showcasing flexibility and initiative. u2022 Collaborate with the team to ensure seamless execution of administrative processes and objectives. Requirements u2022 High school diploma or equivalent required; Associate's or Bachelor's degree preferred. u2022 Minimum of 3 years of experience in executive support, ideally within a financial or corporate setting. u2022 Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint, as well as Adobe Pro. u2022 Familiarity with expense reporting systems like Concur or Basware and credit card administration. u2022 Strong interpersonal skills, with the ability to communicate effectively and maintain confidentiality. u2022 Experience with accounting tasks such as handling invoices and managing accounts payable/receivable. u2022 Paralegal experience or related skills are a plus. u2022 Ability to adapt to changing priorities and work independently in a fast-paced environment.
