Job Description A large software and gaming company is looking for an Office Coordinator to sit on site in Brazil and join a growing team. This person will serve as the u201cface of the Global Real Estate & Facilitiesu201d organization to all occupants and visitors within the studio. Other responsibilities include: u25cfOversight of all hospitality-related services u25cbu2003Manage reception desk, including shipping & receiving activities u25cbu2003Greeting all visitors and managing the visitor process, including NDAu2019s u25cbu2003Coordinate daily pantry/commissary and catering, as well as needs for internal or customer events u25cbu2003Scheduling transportation services for visitors and guests u25cbu2003Schedule and coordinate employee activities as required (Morale) u25cbu2003Order and stock adequate supplies for the office and necessary departments u25cbu2003Coordinate setups for all new employees and assist with orientation u25cfOversight of all facility management-related services u25cbu2003Assist with inventory management, invoice management, and budget tracking u25cbu2003Assist with vendor management, including escorting the vendor on-site if necessary u25cbu2003Coordinate all maintenance and repair issues between the building, property management, and outside vendors u25cbu2003Manage office cleanliness and communication with janitorial staff u25cbu2003Create Facilities tickets as needed u25cbu2003Resolve site-specific facilities tickets u25cbu2003Assist with moves within space and space planning u25cfOversight of safety & security-related services u25cbu2003Utilize the physical security system and continuously follow the global security policy u25cbu2003Coordinate access cards for visitors u25cbu2003Maintain vendor access card inventory u25cfu2003Jointly responsible for the local office intranet page u25cfAssist with all workplace health, safety, and environmental initiatives, including global or regional programs as mandated by law or policy u25cfManagement of all site documentation, including vendor invoices, documents required for legal compliance, and site-specific records u25cfAssist with global or regional facilities programs and policies We are a company committed to creating diverse and inclusive environments where people can bring their full, authentic selves to work every day.
