Summary This position is located within the Northern Arizona VA Health Care System (NAVAHCS), located in Prescott, AZ. The incumbent serves as a Program Support Assistant to the Facilities Management Service Line, Business Manager, and Project Program Analyst, and other assigned staff. The primary responsibility of the position is to perform administrative, technical, and clerical tasks in support the the service line. Responsibilities The major duties and responsibilities include but is not limited to: Providing specialized support to several assigned program areas by independently addressing a wide variety of issues or situations common to the programs or functions supported. Identifying and studying the relevant elements of each issue, determining interrelationships of data collected, potential courses of action, and wherever possible, determining and executing the most effective solution independently. Dealing with a variety of highly complex, technical reports such as Compensated Work Therapy (CWT), expenditure trends, purchase and hire costs, project status reports and budget trends independently. Working closely with contracting staff to put contracts in place and providing contract administration assistance in reviewing billings and maintaining utility contact files for emergency services when needed. Preparing funding documents to cover obligations for utilities, janitorial services, CWT, and other obligations, in addition to reviewing and certifying invoices for assigned fund control points. Reviewing and ensuring the accuracy of credit card statements and the appropriate information regarding FCP, cost center and BOC is provided to Fiscal Service. Reviewing and distributing incoming mail, managing suspense, preparing outgoing mail and office correspondence. Providing general calendar maintenance, clerical services such as maintaining calendars, recording appointments, arranging for meetings and small conference administrative details. Work Schedule: Monday thru Friday, 8:00am to 4:30pm Position Description Title/PD#: Program Support Assistant/PD12171A Physical Requirements: The work is primarily sedentary, although some slight physical effort may be required. This includes typing, sitting, standing, bending, and lifting of no more than 25 pounds. Qualifications To qualify for this position, applicants must meet all requirements by the closing date of this announcement. GS-06 grade level: One year of specialized experience (equivalent to the GS-05 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience includes: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to developing and recommending ways to improve the effectiveness, efficiency, and timeliness of work operations; scheduling, coordinating, planning and maintaining various events and calendars for meetings, committees and conferences; utilizing word processing, spreadsheet and database software; performing timekeeping functions for a large group of employees; purchasing, certifying and reconciling office supplies, services and invoices. There is no educational substitution for the GS-06 level. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment.
