Executive Assistant Richmond, VA 23228 The Executive Assistant will provide high-level administrative, coordination, and organizational support to the Sr. Vice President of ColonialWebb, as well as other company executive officers located in our Richmond office. Perks of working at ColonialWebb: + Market, competitive wages based on experience + Opportunities for career growth, training, and development + 401(k) plan with a generous company match + Personal leave, paid holidays, bereavement leave + Excellent Medical, dental, vision, and Rx drug insurance + Life and accidental death insurance + Short and Long-Term Disability insurance + Employee referral incentives + Scholarship program for employeesu2019 children A day in the life: + Provide comprehensive administrative support to the Sr. Vice President and Richmond-based executive team, including calendar management, travel coordination, meeting scheduling, and correspondence. + Act as a gatekeeper and liaison, managing communication flow and prioritizing competing demands. + Prepare, review, and edit executive communications, presentations, and reports. + Support board-level and leadership team meetings by preparing agendas, taking minutes, and tracking action items. + Coordinate and manage confidential and sensitive information with discretion. + Organize and prioritize tasks and activities to help executives make the most efficient use of their time. + Maintain organized systems for document management, project tracking, and executive workflows. + Assist in the preparation and execution of internal events, leadership meetings, employee engagements, and celebrations. + Ensure executives are informed and equipped with necessary information prior to meetings and engagements. + Support Sr. Vice President/Executive-sponsored initiatives, strategic planning activities, and enterprise-wide projects. + Conduct research, compile information, and support the development of executive-level documents and briefings. + Lead or assist with special assignments that improve organizational efficiency or enhance the executive office experience. You should have: + 5+ years of executive-level administrative support experience, preferably supporting C-suite leaders. + Exceptional organizational, time-management, and multitasking abilities. + Strong verbal and written communication skills, with the ability to represent the Executive Office professionally. + High degree of integrity and ability to maintain strict confidentiality. + Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and comfort with modern collaboration tools. + Proven experience managing complex calendars, travel, and high-volume scheduling. + Experience in construction, engineering, or a similar fast-paced, project-driven environment. + Familiarity with Lean, continuous improvement, or operational excellence principles. + Experience supporting multiple executives simultaneously.
