Crawford Group is seeking a Workplace Events Manager in Seattle, Washington to join our embedded event team delivering workplace events for a global enterprise technology client. As a Crawford Group employee, you will be embedded with our client, managing assigned workplace events end-to-end as part of a global Workplace Events program. This role is responsible for end-to-end delivery of assigned workplace events—including tours, office gatherings, and innovation events—from concept development through execution. You will take global event strategy and regionalize it for local market delivery, manage vendor relationships, oversee budgets, and ensure every event reflects the client’s brand standards and employee experience goals. We are looking for a hands-on event professional with strengths in event execution, stakeholder communication, and operational excellence. Responsibilities: Event Delivery Manage assigned events end-to-end from concept development through execution, taking global event strategy and regionalizing it for local market delivery Develop detailed event plans, run-of-show documents, and budgets aligned with global program standards Drive events production schedules and production meetings with cross-organizational teams Manage large-scale, highly produced employee events across multiple venues and formats, coordinating complex logistics and production requirements Deliver in-person employee events including venue management, catering, AV/tech coordination, and on-site execution Manage hybrid and virtual event formats via Zoom Webinar (client’s virtual event platform) Provide white glove experience, attention to detail, project management, and strong communications Manage registration via Swoogo (client’s registration platform), attendee journey, communication development, and feedback collection Drive continuous improvement through post-event retrospectives and lessons learned integration Vendor & Financial Management Handle vendor sourcing, contract negotiation, and supplier oversight, ensuring compliance with client standards Manage all contracted external vendors from preproduction through onsite execution to post-event wrap-up Manage event budgets, track expenses against forecasts, and ensure effective cost controls Responsible for budget tracking, expense reconciliation, and invoice processing per client procurement policies Coordinate with Event Finance Specialist on pass-through expense management and reconciliation Stakeholder Communication & Reporting Manage stakeholder communication and coordinate planning meetings with client Workplace teams Gather feedback and event metrics such as attendance, estimated cost per person, and stakeholder satisfaction Deliver post-event reports within established timelines Conduct post-event debriefs, capture learnings, and contribute to continuous improvement Program Management Ensure all events and vendor activities comply with client legal, privacy, and security requirements Contribute to event documentation, SOPs, playbooks, and knowledge base Identify gaps in processes and recommend efficiencies Manages workflow/ticketing systems for event requests, approvals, and tracking Requirements: Proven enterprise experience Demonstrated experience managing in-person, hybrid, and virtual events Experience delivering large-scale enterprise events with complex production requirements across multiple cities and venues Experience managing high-volume event portfolios with concurrent programs Experience with enterprise employee-centered gatherings and events Strong budget management, vendor management, and negotiation, and financial accountability skills Excellent stakeholder communication skills Experience working across time zones with geographically distributed teams Must be organized, detail-oriented, a self-starter, and proactive Ability to work in a fast-paced environment with a highly complex matrix Ability to drive to tight deadlines Preferred Qualifications: Experience delivering highly produced enterprise workplace events Experience with Swoogo registration platform Experience managing virtual events via Zoom Webinar Familiarity with products (Jira, Confluence, Trello) Background in BPO or managed services delivery models Work Environment & Expectations: Seattle-based position (per client requirement) Regular collaboration with global team across multiple time zones Travel required for events across AMER region On-site presence required during major event execution periods
