Position: Office Administrator Location: Columbus, Mississippi Position Overview We are seeking a highly organized, customer-focused Office Administrator who also serves as the primary Receptionist for our Columbus, MS location. This integral, dual-role position is essential to creating a professional, welcoming environment while ensuring smooth and efficient office operations. Key Responsibilities Reception & Front Desk Duties: • Serve as the first point of contact for visitors, customers, and vendors. • Answer and route incoming calls and emails professionally. • Welcome guests and assist with inquiries. • Maintain a clean and organized front-desk area. • Receive, log, and distribute mail and packages. Office Management: • Manage office supply inventory and ordering. • Coordinate maintenance for office equipment. • Maintain filing systems such as accounting & human resources. • Assist with document preparation and administrative tasks. Administrative Support: • Support management team with paperwork, communications and special projects. • Prepare meeting materials and manage calendars. • Handle invoice processing and expense tracking. • Prepare and distribute memos and internal communications. · Prepare and memorialize monthly Food Safety & Quality Training meetings · Prepare meeting minutes of quarterly management meetings Qualifications Required: • High school diploma or equivalent. • Experience in office administration or receptionist roles. • Strong communication and customer service skills. • Proficiency in Microsoft Office and ability to learn basic functions of our ERP system. • Excellent organizational abilities. Preferred: • Industry experience in manufacturing, distribution or related fields. • Familiarity with office management systems. • Basic accounting knowledge.
