Administrative Assistant II DentalSchool Dean's Office provides administrative support to the Dentalstaff and leadership, with an emphasis on faculty recruitment,onboarding, and other human resource related tasks. Duties andResponsibilities 1. Monitor and complete various administrative tasksassociated with the faculty/exempt staff recruitment process such as:Identify new applications as they are received, and prepare application,CV, and cover letter for distribution to search committee members.Correspond via email with applicants at various stages of therecruitment process. Schedule search committee meetings as needed.Schedule virtual screening interviews with candidates selected by thesearch committee. Draft interview schedule and evaluation form forcandidates selected for the second interview. Arrange lodging forcandidates visiting MUSoD. Order welcome package for delivery at hotel.Distribute completed evaluation forms to members of the searchcommittee. After the recruitment process concludes, send notificationemails to applicants not selected, and update job requisition. Draftorientation schedule for new hires. Schedule in-person meetings for theorientation and reserve rooms as needed. Ensure offices for new hiresare ready and equipped with appropriate technology. 2. Enter allvacation requests for faculty and exempt staff into MyJob Timekeeper. 3.Manage student employment hires, reactivations, and terminations. 4.Assist with non-exempt staff hires and orientations, as needed. 5.Monitor Qualtrics form for sick day reporting for faculty and exemptstaff. 6. Assist with onboarding duties for faculty and staff new hireson their first day (assist with getting IDs and parking pass, tours ofMUSoD, taking new hires to HR for I9 process, etc.) 7. Reconcile creditcard expenses for department Pcard against general ledger and assistwith student reimbursements. 8. Responsible for conversion of paperdocuments to electronic filing system. Required Knowledge, Skills andAbilities High school diploma Minimum of two years of experience in anoffice su port role. Excellent organizational and customer serviceskills. Excellent written and verbal communication skills. Discretion,flexibility, and courteous demeanor. Ability to maintainconfidentiality. Ability to work and communicate with people from adiverse population. Ability to work independently with littlesupervision and frequent interruptions in a dynamic, fast- pacedenvironment. Ability to multitask and prioritize daily puter competency with Microsoft Office Suite (Word, Excel,PowerPoint). Preferred Knowledge, Skills and Abilities Bachelor'sdegree and supervisory experience.
