Intake Specialist Experience Level: Entry Level (Specialist), Senior, or Lead Position Summary The Intake Specialist plays a key role in supporting patients, referral sources, and internal teams by ensuring accurate data entry, compliant documentation, and smooth coordination of services. This position requires strong attention to detail, excellent communication skills, and the ability to manage multiple tasks in a fastu2011paced healthcare environment. Schedules may vary based on branch needs. Essential Responsibilities + Accurately enter patient referrals within established timeframes while meeting productivity and quality standards. + Communicate with referral sources, physicians, and their staff to ensure timely completion and routing of required documentation. + Collaborate with leadership to select and confirm appropriate inventory and services for each patient. + Discuss financial responsibilities with patients, collect payments, and document appropriately in the patient record. + Review medical records for nonu2013sales-assisted referrals to ensure all compliance requirements are met prior to service. + Ensure proper shipping methods are used according to company procedures. + Answer incoming phone calls promptly and provide helpful assistance to callers. + Demonstrate expert understanding of payer guidelines and evaluate clinical documentation to determine qualification and compliance for equipment and services. + Work closely with community referral sources, sales teams, and insurance verification teams to obtain all required documentation and ensure seamless processing of referrals. + Notify patients when documentation does not meet payer requirements, providing updates and alternative options when appropriate. + Navigate multiple online EMR systems to obtain necessary clinical information. + Participate in on-call rotation during non-business hours in accordance with company policy. Education & Experience + Required: High school diploma or equivalent + Preferred: Associateu2019s degree in Healthcare Administration, Business Administration, or related field + Relevant backgrounds include: + Healthcare administration or support + Insurance customer service or claims + Billing + Call center operations + Pharmacy or medical supplies + DME/HME + Medicare-certified healthcare settings Experience Levels + Specialist (Entry Level): + 1 year of related work experience + Level: + 1 year related work experience plus + 2 years of direct, relevant job experience + Lead Level: + 1 year related work experience plus + 4 years of direct, relevant job experience Job Type & Location This is a Contract to Hire position based out of Springfield, MO. Pay and Benefits The pay range for this position is $18.00 - $20.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
