Description We are looking for a Front Desk Coordinator / Office Manager to join our team in the Ballard neighborhood of Seattle, Washington. This long-term contract position offers the opportunity to play a vital role in ensuring the smooth operation of office activities while providing exceptional support to staff and visitors. The ideal candidate will be detail-oriented, dependable, and skilled in handling administrative tasks with professionalism and efficiency. Responsibilities: u2022 Sort and distribute incoming mail while preparing outgoing mail and packages with proper weighing and labeling. u2022 Maintain office supplies by restocking refrigerators and ensuring restrooms are adequately stocked. u2022 Handle deliveries, including faxes, FedEx packages, and other incoming shipments, distributing them promptly upon arrival. u2022 Operate and manage the office dishwasher weekly, including unloading and organizing kitchen items. u2022 Care for office and lobby plants by watering them regularly to maintain a welcoming environment. u2022 Provide backup support to the Executive Assistant, including preparing beverages for guests and fulfilling hospitality needs during their absence. u2022 Assist with human resources tasks such as scanning and organizing HR filing projects as requested. u2022 Answer and route inbound calls professionally using a multi-line phone system. u2022 Facilitate supply ordering and inventory management to ensure seamless office operations. u2022 Deliver concierge-level services to visitors and staff by addressing inquiries and providing assistance efficiently. u2022 Knowledge of Excel, Word, and Outlook is a must. Requirements u2022 Proven experience in receptionist or front desk coordination roles. u2022 Ability to manage multi-line phone systems and efficiently route calls. u2022 Strong organizational skills for handling administrative office tasks and mail distribution. u2022 Familiarity with supply ordering and inventory management processes. u2022 Reliable multitasking capabilities to balance various office functions effectively. u2022 Exceptional communication skills and a detail-oriented approach when interacting with visitors and staff. u2022 Basic knowledge of HR filing and scanning processes is preferred. u2022 Willingness to perform light physical tasks such as watering plants and managing kitchen appliances.
