The Idaho Transportation Department is hiring a Records Management Specialist to join our Legal team located in Headquarters, Boise, ID. The Records Management Specialist leads the development, implementation, monitoring, and continuous improvement of a complex, customized, agency-wide Records Management Program for the Idaho Transportation Department (ITD), including both centralized (Headquarters) and decentralized (District) operations. This position oversees records retention, succession planning support, public records compliance, and related legal duties in accordance with applicable state and federal laws, regulations, and guidelines. The role ensures consistency, accountability, and compliance across the Departmentu2019s records management practices. EXAMPLE OF DUTIES + Lead and oversee the development and administration of ITDu2019s agency-wide Records Management Program, ensuring alignment between Headquarters and District operations + Collaborate with ITD executives, attorneys, legal staff, and section managers to identify, classify, and retain official State record materials applicable to departmental operations + Design, implement, and improve workflow processes related to records management across the Department + Lead and support records management activities including collection, indexing, storage, retrieval, inventory tracking, and lawful disposal of State records + Ensure the security, integrity, and confidentiality of State records maintained in ITD custody + Coordinate the transfer of records with long-term historical value to the Idaho State Archives in accordance with approved retention schedules + Recommend and oversee the lawful destruction of obsolete records in compliance with Idaho Code and established retention requirements + Develop, evaluate, and recommend policies and procedures governing ITD records management practices + Provide technical guidance and expertise to ITD management regarding records management, best practices, principles, and succession planning considerations + Interpret and apply relevant policies, procedures, business practices, laws, rules, and regulations to develop and implement effective records workflows + Develop and deliver training to support implementation, compliance, and maintenance of records management programs + Perform related duties as assigned MINIMUM QUALIFICATIONS Good knowledge of: + Records management systems + Supervisory practices Experience: + Developing and implementing record management policies and procedures + Interpreting, explaining, and applying policy and procedures + Monitoring budgets + Making oral presentations before groups Desired Qualifications: + Experience in developing and implementing records management policies and procedures + Experience interpreting, explaining, and applying policies and procedures + Demonstrated ability to develop and implement workflow processes + Knowledge of legal processes and procedures To learn more about the department, please visit the ITD website.
