JOB REQUIREMENTS: Responsibilities Responsible for the daily oversightof triaging patient phone calls, demonstrating advanced ability toprioritize urgent medical situations, excellent problem solving andjudgment skills as well as advanced customer service skills. Managesoverall process with Children's Wisconsin (CW) , Froedtert (FDT) andother partner systems to ensure completion of all required processes forCW based clinics, including scheduling clinic and lab appointments,printing out clinic paperwork, and helping resolve procedural,equipment, and policy issues. Manages support for a multidisciplinaryclinic for patients with chronic complex bleeding and coagulationdisorders. Schedules the clinics and completes all preparatory paperworkand charts, obtains patient releases and demographic information,organizes medical staff meetings, and prepares the final comprehensiveclinic forms. Responsible for maintenance of patient records in multipledatabases and files paperwork, including patient notes in patientcharts; statistics for the compilation of grant and other statisticalreports. Provides support for the professional staff such as typingcorrespondence, helping with the revision of dictated patient letters,photocopying, entering patient infusion logs, and scheduling meetingsetc. Organizes and maintains supplies level for the Outreach and HomeCare Coordinator, as well as prepares supply kits for individual cases.Provide accurate assistance to CCBD nurses and Manager in schedulingpatient clinic visits through CCBD's patient data base. Managesaccurate and timely daily support to and coordination with theTherapeutic Products Patient Services Coordinator. Serves as subjectmatter expert for CCBD office procedures in order to provide backupsupport for other Clinical Services Specialists, and maintains CCBD HowTo book. Responsible for training Clinical Services Specialists inclinic and office procedures. Works cooperatively as a team with theother Clinical Services Specialists to provide support for the NurseCoordinators, Social Worker, Research Coordinator andFinancial/Insurance Counselor at CCBD. Manages and delegates asappropriate the following responsibilities to other Clinical ServicesSpecialists: processes CCBD mail, orders supplies for CCBD, compilesarticles for and supervises timely mailing of CCBD newsletter. Assistsand performs other functions as requested by the Medical Director, CCBD.Performs other duties as assigned Complies with all policies andstandards Qualifications Education High School Diploma or equivalentAdvanced education in business, administrative training or healthcarepreferred Associate's Degree from an accredited college or university,or equivalent preferred Experience 4-6 years administrative experiencerequired Administrative experience in a health care environmentpreferred Knowledge, Skills and Abilities Excellent problem-solvingskills Excellent verbal and written communication skills Excellentinterpersonal and customer service skills Ability to screen callers andtriage call appropriately Ability to prioritize/complete a variety ofassignments with good judgment and diplomacy Proficient computer skillsincluding Microsoft Office products Knowledge of medical terminologyAbility to learn job specific computer applications such as Velos andEpic Tools and Technology Computer Printer Multi-line Telephone FaxMachine Photocopier APPLICATION INSTRUCTIONS: Other:females, minorities, and special disabled veterans and otherveterans are encouraged to apply.
