Description We are looking for a detail-oriented Administrative Coordinator to join our team in Benton Harbor, Michigan. This Contract to permanent position requires an organized individual who excels in managing administrative tasks, streamlining office operations, and supporting various departments. The ideal candidate is bilingual in Spanish/English and will contribute to a smooth workflow by handling customer orders, maintaining records, and assisting with HR-related tasks. 100% onsite, M-F, 8am-5pm. Responsibilities: u2022 Manage customer purchase orders, ensuring accurate entry and processing within company systems. u2022 Coordinate shipping logistics, including preparing bills of lading, scheduling transportation, and handling ship tickets. u2022 Set up accounts for new customers and maintain updated records. u2022 Oversee office supply procurement to ensure resources are readily available. u2022 Handle customer invoicing, check receipt, and payment processing. u2022 Open, sort, and distribute incoming mail to appropriate recipients. u2022 Assist with payroll administration and manage 401k contributions. u2022 Support workers' compensation claims and health insurance processes. u2022 File and organize documents to maintain a well-structured record system. u2022 Greet visitors and provide assistance in a courteous and welcoming manner. Requirements u2022 Proven experience in administrative support or office coordination. u2022 Proficiency in QuickBooks and other relevant software tools. u2022 Strong organizational skills with the ability to multitask effectively. u2022 Excellent communication skills for answering inbound calls and interacting with clients. u2022 Familiarity with HR administration, including payroll and benefits management. u2022 Ability to manage receptionist duties and provide front desk support. u2022 Knowledge of office administration procedures and best practices. u2022 Attention to detail and accuracy in recordkeeping and data entry.
