Job Description

We are seeking a highly organized and proactive HVAC Service Dispatcher to coordinate daily service operations and support our field technicians. This role serves as the communication hub between customers, technicians, and management to ensure service calls are scheduled efficiently and completed on time.The ideal candidate thrives in a fast-paced environment, can manage multiple priorities at once, and communicates clearly and confidently. This position plays a critical role in maintaining customer satisfaction and keeping field operations running smoothly.KEY RESPONSIBILITYCustomer InteractionAnswer inbound calls, emails, and online service requests from residential and commercial customersSchedule HVAC maintenance, repair, and emergency service appointmentsGather accurate job details, equipment information, service history, and customer dataProactively communicate technician arrival windows, delays, and updatesResolve scheduling conflicts and address customer concerns in a professional mannerCoordinate follow-up appointments with customers when return visits are requiredDispatch & SchedulingDispatch HVAC technicians based on skill set, certification level, availability, and geographic locationOptimize daily routes and schedules to improve efficiency and response timesMonitor technician progress throughout the day and adjust schedules as neededConfirm labor tickets and hours for payroll Coordinate same-day and emergency service callsMaintain accurate work orders and service records within the company systemProactively review open service tickets and escalate aging or unresolved calls to techniciansTechnician SupportServe as the communication link between technicians and customersProvide technicians with complete job details, site notes, and updatesTrack technician status including en route, on site, completed, or delayedMonitor incoming parts and equipment deliveries, notify technicians upon arrivalAssist with job documentation, follow-ups, and scheduling return visits if neededCommunicate parts or equipment needs with internal teams when applicableKNOWLEDGE, SKILLS AND ABILITIESExperience/EducationHigh school diplomaAssociates/Bachelors degree preferredPrevious dispatching or scheduling experience preferred (HVAC, construction, or service-based industry a plus)Proficiency in Microsoft Office, particularly Excel and WordCompetencies and SkillsStrong attention to detail with a focus on accuracy and qualityAbility to prioritize tasks, meet deadlines, and adapt to changing demandsStrong problem-solving and follow-up skillsClear and professional communication with internal and external customersTeam-oriented mindset with a positive, collaborative approachCompany Benefits401k 6% matchFlexible Spending AccountMedical, Dental and Vision Insurance for the Primary Employee with 100% premium coveragePaid Primary Employee Life and AD&D Insurance CoveragePaid Primary Employee Long-term and Short-term Disability Insurance Employer Sponsored Apprenticeship ProgramCandidates interested in applying for the above position should forward their resumes via email to
