Job Description

The Accounts Receivable Specialist is responsible for managing the billing processes for construction projects, ensuring accuracy in project setup, invoicing, and accounts receivable.Calculating billing amounts and mailing bills when needed.Organizing and updating digital recordsUpdates and retains customer account information related to special billing conditions, tax status, invoice approval contact, billing addresses and special billing rates.Coordinates with Project Managers to establish billing timing and procedures/progress billings.Works with project managers to ensure billings are complete, accurate and on time.Prepares payment requisitions for projects that require schedules of values and supporting schedules.Reminds customers about upcoming payments or past-due accounts and follows-up weekly to ensure that the payments are received on a timely basis.Works with project managers and customers to resolve receivable issues.Processes invoice credits, as necessary.Keeps accurate records of payments received from customers.Records electronic or check deposits to company bank accounts.Maintains billing log and prepares retention billing at end of project.Updates accounts receivable database with new projects and necessary supporting documentation.Creates reports for managers and provides records when requested.Ability to provide good customer service and address complaints promptly.Knowledge in data entry.Knowledge of bookkeeping and other financial software.Understanding of and ability to adhere to accepted accounting principles.Proficient with accounting software.Excellent organizational skills and diligence.Excellent written and verbal communication skills.Proficient in Google Suite, NetSuite, or similar software.Problem solving and an initiative-taking mindset.Education, Experience, & Licensing Requirements:Associate or bachelor’s degree in business or related field a plus.Three to five years of construction accounting preferred.Basic computer skills.Physical Requirements: (Each to have one of the following based on the position: Never, Rarely, Occasionally, Constantly)Remaining in a stationary position, often standing or sitting for prolonged periods:ConstantlyMoving about to accomplish tasks at a worksite or moving from one worksite to another:OccasionallyMoving self in different positions to accomplish tasks in various environments, such as stooping, kneeling, or crouching:OccasionallyAdjusting, moving and lifting objects in all directions:OccasionallyTalking and hearing to communicate with others:ConstantlySeeing to perform job duties at close range, such as monitors or screens:ConstantlySeeing to perform job duties at a distance, such as driving or operating equipment:RarelyRepeating motions that may include the wrists, hands and/or fingers:ConstantlyAscending or descending ladders, stairs, scaffolding, ramps, poles and the like:NeverOperating machinery and/or power tools:NeverOperating motor vehicles or heavy equipment:NeverThe ability to travel regionally or nationally:RarelyPhysical Demands:Sedentary work that primarily involves sitting/standing:ConstantlyLight work that includes moving objects up to 20 pounds:OccasionallyMedium work that includes moving objects up to 50 pounds:NeverHeavy work that includes moving objects up to 100 pounds or more:NeverWorking Conditions:Low temperatures:NeverHigh temperatures:NeverOutdoor elements such as precipitation and wind:RarelyNoisy environments:NeverHazardous conditions:NeverShift work, to include overnight work:NeverFrequent overtime, including weekends:RarelyOffice environment:ConstantlyWe are an Equal Opportunity Employer and comply with OFCCP regulations.
