The Administrative Assistant III position will support the HematologyOncology Department (Hematologic Malignancies & Bone Marrow Transplant)at BIDMC in the Longwood area of Boston, MA. This is an on-site role,working Monday through Friday, first shift. Job Description: Providesadministrative support to physicians in their clinical, academic,research and leadership roles Essential Responsibilities: Answers andscreens telephone calls . Takes accurate messages or directs call toappropriate person. Greets and directs patients, families, visitors andstaff. Responds to requests in a timely manner and provides clear,accurate information within scope of knowledge and authority. Updatespatient demographic and insurance information as necessary and obtainsspecialist referrals for all patient appointments. Schedules patientappointments utilizing scheduling tools and resources. Coordinates andcommunicates ancillary appointments and procedures working with otherhospital staff as needed. Obtains patient information and materials asneeded from referral sources. Prepares patient records for clinicalactivities and maintains patient records for physicians. Acts as liaisonwith other departments and external customers in a calm and supportivemanner. Handles confidential information appropriately and explainspolicies and procedures when necessary. Maintains physician'sadministrative and clinical calendars. Types correspondence, manuscriptsand documents that may require complex formatting. Composes routinecorrespondence. Transcribes letters and patient notes as needed forphysicians and/or facilitates notes and letters in CCC system. Composesroutine correspondence. Prepares and distributes materials for meetingsand committees. Actively assists and supports licensed practitioners byqueuing prescriptions for renewal and performing the initial review ofmedication listings for accuracy in the electronic medical record (WebOMR). Required Qualifications: High School diploma or GED required.Associate's degree preferred. 3-5 years related work experiencerequired. Experience with computer systems required, including web basedapplications and some Microsoft Office applications which may includeOutlook, Word, Excel, PowerPoint or Access. Competencies: WrittenCommunications: Ability to communicate clearly and effectively inwritten English with internal and external customers. OralCommunications: Ability to comprehend and converse in English tocommunicate effectively with medical center staff, patients, familiesand external customers. Knowledge: Ability to demonstrate full workingknowledge of standard concepts, practices, procedures and policies withthe ability to use them in varied situations. Team Work: Ability to workcollaboratively in small teams to improve the operations of immediatework group by offering ideas, identifying issues, and respecting teammembers. Customer Service: Ability to provide a high level of customerservice to patients, visitors, staff and external customers in aprofessional, service-oriented, respectful manner using skills in activelistening and problem solving. Ability to remain calm in stressfulsituations. Physical Nature of the Job: Sedentary work: Exerting up to10 pounds of force occasionally in carrying, lifting, pushing, pullingobjects. Sitting most of the time, with walking and standing requiredonly occasionally.
