This role serves as a financial support partner to the Acute Care Transport Coordination team by managing invoice validation, reconciliation, and reporting processes related to patient transport services. In addition to financial responsibilities, the Transport Invoice Specialist may provide administrative or operational support to the transport coordination team during periods of high operational demand, staffing gaps, or emergency situations to ensure continuity of operations. RESPONSIBILITIES Invoice and Financial Management + Receive, log, and track patient transport invoices across all transport modalities. + Validate invoice details to ensure accuracy and alignment with services rendered. + Ensure invoices comply with contractual agreements, memorandums of understanding (MOUs), and organizational policies. + Reconcile billing discrepancies with vendors and resolve invoice-related issues. + Maintain documentation to support financial validation, regulatory compliance, and audit readiness. + Prepare routine and ad-hoc financial reports related to transport operations and expenditures. Process Improvement, Compliance, and Safety + Identify trends related to invoice errors, delays, cost drivers, and vendor performance concerns. + Ensure transport-related financial processes comply with local, state, and federal regulations as well as organizational protocols. + Participate in continuous quality improvement (CQI) initiatives to enhance the efficiency and safety of transport services. + Support process improvement efforts related to financial controls and transport operations. + Assist with standardizing invoice workflows, documentation templates, and tracking tools. + Support leadership with data collection and analysis for vendor evaluations and contract discussions. Operational Support for Transport Coordination + Provide administrative or operational support to Transport Coordinators during high call volume periods, staffing shortages, inclement weather, or emergency operations. Emergency Preparedness Support + Assist with emergency preparedness and surge operations, including inclement weather or high-acuity events. + Provide documentation support, financial oversight, and limited coordination assistance during emergency operations when needed. Additional Responsibilities + Perform other duties as assigned. Work Environment + Work Type: On-site position requiring work in an office or operational command environment with face-to-face collaboration with colleagues. + Travel: Less than 10% travel may be required. MINIMUM QUALIFICATIONS Education + Associateu2019s degree in healthcare, business administration, or a related field required. Experience + Minimum of five (5) years of experience in one or more of the following areas: + Prehospital healthcare + Emergency Medical Services (EMS) + Patient transport operations + Emergency communications + Public safety operations Licensure + Valid state driveru2019s license required. Required Knowledge, Skills, and Abilities + Proficiency with Microsoft Outlook for professional communication and coordination. + Strong working knowledge of Microsoft Excel for data tracking, reconciliation, and reporting. + Proficiency with Microsoft Word for documentation and report preparation. + Strong attention to detail with the ability to verify financial and operational information. + Ability to manage multiple tasks and prioritize responsibilities effectively. Preferred Qualifications Education + Bacheloru2019s degree in healthcare, business administration, or a related field preferred. Experience + Ten (10) years of experience in areas such as: + Medical billing or healthcare invoicing + Revenue cycle operations + Patient transport coordination + Healthcare logistics Certification + Emergency Medical Technician (EMT) or Paramedic certification preferred. Preferred Knowledge, Skills, and Abilities + Familiarity with dispatch, scheduling, and transport management systems. + Strong analytical and critical thinking skills, including the ability to identify discrepancies and financial irregularities. + Ability to quickly learn and navigate healthcare operational and financial systems. + Ability to support operational teams in dynamic or high-pressure environments. PHYSICAL REQUIREMENTS (Medium Max 25lbs): up to 25 lbs., 0-33% of the work day (occasionally) Lifting 25 lbs. max; Carrying of objects up to 25 lbs.; Occasional to frequent standing & walking, Occasional sitting, Close eye work (computers, typing, reading, writing), Physical demands may vary depending on assigned work area and work tasks. Environmental exposures include but are not limited to: Blood-borne pathogen exposure, Bio-hazardous waste chemicals/gases/fumes/vapors, Communicable diseases, Electrical shock, Floor Surfaces, Hot/Cold Temperatures, Indoor/Outdoor conditions, Latex, Lighting, Patient care/handling injuries, Radiation, Shift work, Travel may be required.
