Duties will include coordinating work permit, residence permit, and visa and legalization/authentication requirements for multiple countries in Europe, Middle East, Asia, and the Americas.Essential Functions: Assist with consular application services, including completing and coordinating visa applications and document legalization/authentication requirements and communicating with multiple stakeholders regarding application process and timelines under attorney instruction and supervisionUnder the supervision of an attorney, assist with coordinating global immigration matters with our network of local counsel and consultants, including reviewing, tracking, and updating reports and databases with large volumes of case data, coordinating visa matters throughout their full lifecycleCommunicate clearly and effectively, based on attorney advice, to corporate clients and their employees about immigration benefits, government procedures, and case processing time linesAssist multiple attorneys with meticulously tracking and reporting visa expiration dates and filing deadlinesMaintain a high sense of urgency and commitment to meet deadlines while meeting client requirementsAdhere to strict delivery schedules and timelines to ensure timely delivery of services and work product, working overtime when necessaryCoordinate the work of the Department Assistant - Global MobilityDuring absences, act as back-up to other practice professionals for specific case projects or mattersOther duties as requested by attorneys and managerEducation/Training/Certifications: Bachelor’s degree with solid academic credentials and 5+ years’ of relevant experience requiredProfessional Experience:Experience managing various priorities simultaneously in a high-volume and fast-paced environment preferredExperience working on global immigration matters, including consular processing and document legalization/authentication preferredExperience delivering client services in accordance with SLAs preferredExperience with client-facing or customer-facing service preferredSpecific Technical Skills:Proficiency in Microsoft Office products, including Excel, requiredProficiency working with case management or docketing systems or developing docket or tracking reports preferred Proficiency in legal terminology and immigration database software preferredPerformance Traits:Strong written and verbal communication skills: ability to communicate effectively in a professional manner with all levels of the Firm and outside parties such as filing vendors and personnel in foreign jurisdictions where work permit/visa applications are filedMust possess an attention to detail, along with the responsiveness, accuracy, and discretion necessary to get the task done wellMust be inspired to perform well by the completion of tasksMust possess a desire to work in a fast-paced and high-volume environment, strong organizational skills and enjoy providing top quality customer service skills to assist our growing GMM team in managing the mobility needs of our diverse, Fortune 500 client baseMust possess a curiosity to learn new areas of the law and think creatively, as we seek to provide all team members with a diverse portfolio of immigration and mobility mattersAbility to work in a diverse team environment and effectively support the demanding needs of the Firm and practiceMust be a self-starter with a high level of initiativeAbility to anticipate needs of lawyers and practice professionalsMaintains confidentiality and exercises discretionExercise solid strategic thinking and problem-solving skillsStrong sense of accountability for responsiveness and professional work productPhysical Requirements:May require occasional lifting of up to 20 lbs.The above is a general description of the essential duties associated with this position and does not represent an exhaustive or comprehensive list of all duties.The Firm may modify and amend this job description at any time at its sole discretion.
