They anticipate guest needs, create personalized moments, and support one another to deliver exceptional hospitality every day.If you have a passion for hospitality, a mindset driven by service, and a desire to make a difference in the lives of others, The Logan Hotel may be the perfect place for you.We are currently seeking a Hotel Administrative Assistantto join our amazing team!Assist managers in obtaining customer satisfaction by performing clerical and administrative duties relating to guest and hotel operations and communications.Answer phones and ensuring all inquiries are dealt with accurately, timely and in a professional manner within the same business day or by 10am the next business day.Type correspondence, reports and forms as well as prepare simple written correspondence.Post, distribute and close all job opening requestsPrepare POs and check requestsAssist managers on projects, proposals and special events.Assist managers with copying, faxing, scanning and shipping needsReview departure calls for any possible customer care issues and remedy with the guestReceive all customer care issues and resolve or send to the appropriate manager. Ensure all issues are closed within three daysMake all VIP and reservations and set up amenities and fill out comp forms and obtain signaturesReview VIP guest log and ensure an appropriate arrival and stay experience with notes/amenitiesReview guest’s special request log and ensure execution of needsProcess mail, invoices and date stamp all items. Ensure postage meter if fullEnter any checks received for events, paymentsEmail all arriving guests two days out with arrival email and respondParticipate in weekly guest service meetingsProcess PO’s, order, enter in appropriate checkbook and maintain inventory of office suppliesProcess expense reports for ECMake and issue Gift Certificate and keep GC log up to date and make GC reservationsMaintain timely and effective paper flow and communications within the officeMaintain cleanliness and order of the executive officeAssist with any administrative requests from EC membersProfessional and positive communication to both guests and fellow employeesEducation/Formal TrainingHigh school diploma or vocational secretarial.ExperiencePrevious secretarial experience preferred.Knowledge/SkillsAbility to type 60 WPM, Microsoft Word applications: Word, Excel, Publisher and PowerPoint.Alphabetizing, grammar and punctuation skills. Standard business letter formats. Strong editing skills.Excellent attention to detail and multi-tasking skillsPhysical DemandsThe physical demands described here are representative of those that must be met by an associate to successfully perform the essential functions of this job.
