Description We are looking for a detail-oriented Executive Assistant to provide high-level administrative support to our organization. This contract position is based in Fresno, California, and requires excellent organizational skills and the ability to manage multiple responsibilities with precision. The ideal candidate will thrive in a fast-paced environment and possess strong communication abilities to ensure seamless operation of executive-level tasks. Responsibilities: u2022 Prepare records, minutes, and resolutions for Board meetings, attending all required meetings to document proceedings accurately. u2022 Safeguard corporate documents and records, ensuring their proper maintenance and organization. u2022 Perform various clerical duties to support office activities, operations, and staff effectively. u2022 Draft and finalize letters, correspondence, memos, reports, proclamations, public notices, and grant-related documents, ensuring accuracy and compliance. u2022 Maintain and update records and files related to office operations, ensuring information is easily accessible. u2022 Manage incoming calls and visitors, maintaining the executive calendar to keep schedules organized and up-to-date. u2022 Sort and distribute incoming mail efficiently, ensuring timely delivery to relevant parties. u2022 Coordinate travel arrangements, including booking and organizing itineraries for executive meetings and events. u2022 Facilitate executive meetings by managing schedules and ensuring all necessary materials are prepared in advance. Requirements u2022 Minimum of 5 years of experience as an Executive Assistant or in a similar administrative role. u2022 Proven expertise in managing executive calendars and scheduling appointments. u2022 Ability to arrange and coordinate complex travel plans and itineraries. u2022 Strong proficiency in drafting and editing clear and accurate correspondence and documentation. u2022 Exceptional organizational skills with the ability to maintain detailed records and files. u2022 Excellent verbal and written communication abilities to interact effectively with staff and external parties. u2022 Proficiency in handling incoming calls and managing office visitors with a detail-oriented approach. u2022 High level of discretion and reliability in handling sensitive corporate information.
