Job description: We are seeking a skilled Events Manager to join the Norstella marketing team, reporting to the VP of Marketing. This role will be responsible for leading the execution and administration of corporate events, tradeshows, conferences, and internal meetings across Norstella and three of its companies: MMIT, Panalgo, and Skipta. Our ideal candidate has three to five years of experience, and is comfortable owning end-to-end event delivery with a strong emphasis on logistics, vendor management, and operational execution across both small and large-scale events. This role also provides key administrative support for event operations, including budgeting, contracting, inventory management, and webinar coordination. Responsibilities: Event Planning & Execution u2022Own end-to-end event logistics for a portfolio of corporate events, tradeshows, conferences and internal meetings, including venue coordination, registration, on-site execution, attendee communication, and post-event wrap-up u2022Drive cross-functional alignment to ensure events stay on track, including building and maintaining project plans, and communicating needs and relevant updates to critical stakeholders u2022Partner with external vendors (booth suppliers, caterers, AV services, etc.) to ensure consistent, high-quality on-site event delivery u2022Partner with content, digital and demand generation teammates to ensure cohesive event assets, messaging and execution Budgeting, Vendors & Contracting u2022Develop, track, and manage event budgets, and monitor ongoing spend u2022Work with legal and finance teams to manage vendor contracts, purchase orders, invoices and reconciliation related to events, and maintain organized documentation Operational & Administrative Support u2022Manage swag inventory for employees and external events, including ordering, storage, and distribution u2022Coordinate logistics for marketing webinars, including scheduling, speaker support, and dry runs u2022Support internal stakeholders with logistics related to ad hoc team meetings, including venue coordination, securing team dinner reservations and on-site catering, etc. u2022Maintain event calendars, timelines, and shared documentation to ensure visibility and alignment u2022 Ad hoc duties as assigned Qualifications: u20223u20135 years of professional experience in event coordination or event management u2022Experience and comfort coordinating large, complex B2B events with multiple stakeholders, tight timelines, and high visibility u2022Strong attention to detail and organizational skills, with the ability to manage multiple events and timelines simultaneously u2022Experience managing budgets, vendors, and contracts u2022Calm, solutions-oriented approach when handling last-minute changes or on-site challenges u2022Strong written and verbal communication skills, including comfort working with senior leaders up to the CEO level Working Style & Expectations u2022Comfortable operating in a cyclical workload with peak event seasons (spring and fall are the heaviest events seasons) u2022Able to manage ambiguity and shifting priorities with a high pace of change u2022Willingness to travel domestically and internationally as required (roughly 10 events a year, mainly in the Northeast but potentially one or two in Europe) u2022Hands-on, execution-focused approach with strong administrative discipline Travel: Approximately 10 events a year Our Guiding Principles for success at Norstella: 01: Bold, Passionate, and Mission-First 02: Integrity, Truth, and Reality 03: Kindness, Empathy, and Grace 04: Resilience, Mettle, and Perseverance 05: Humility, Gratitude, and Learning Please Note - All candidates must be authorized to work in the United States.
