Job Description: The Front Office Coordinator has primary responsibility for general corps/family service office oversight, direction of phone and foot traffic into the office, and volunteer coordination. Support administrative staff and officers in the planning and implementation of department goals and objectives. General Office Responsibilities:u2022 Work collaboratively with others to accomplish common goals and objectives that promote the organizationu2019s mission, vision, and values.u2022 Assist the officers and executive assistant as needed.u2022 Pick up and process USPS mail daily.u2022 Ensure that the building is opened and closed at advertised times.u2022 Maintain front desk sign-in sheets.u2022 Keep front desk resource binder updated.u2022 Retrieve general voicemail messages and forward as appropriate.u2022 Work with administrative staff in keeping the LED reader board current.u2022 Maintain phone voice message system with IT support.u2022 Submit office supply orders to the executive assistant and maintain the copy rooms in both buildings for daily operational and corps needs.u2022 Assist with the development and implementation of promotional materials.u2022 Respond appropriately to Corps Officers needs and requests for support.u2022 Serve as the initial contact for general requests and inquiries.u2022 Know and understand organizational programs and services.u2022 Provide supervision for volunteer receptionists and job trainees. u2022 Be available to do computer data entry work in support of programs and services as needed.u2022 Develop and maintain community contacts and resources in cooperation with the appropriate staff.u2022 Serve on the safety committeeu2022 Perform monthly safety inspections and collect and upload necessary documents to the shared driveu2022 Attend meetings as requested.u2022 Perform other job-related or clerical duties as needed. Volunteer Coordination Responsibilities:u2022 Take an active role in the recruitment, assessment, registration, processing, and retention of volunteers for organizational needs.u2022 Learn and maintain the organizationu2019s Volunteer Management System u2013 VMS.u2022 Promote volunteer opportunities on social media and where appropriate.u2022 Recognize active volunteers on their special days, birthdays, etc.u2022 Maintain regular and intentional contact with volunteers.u2022 Ensure that each immediate supervisor maintains and reports volunteer schedules for general operational needs. Seasonal Duties:u2022 Assist with the Angel Tree program in the intake, data collection, reporting, correspondence, and distribution process.u2022 Assist seasonal red kettle campaign through organizing and maintaining volunteer contact list.u2022 Call and/or send email correspondence to reconnect with prior bell ringers (both individuals and groups) to schedule ringing for the new kettle season. u2022 Be the first point of contact to schedule and coordinate volunteer bell ringers (both individuals and groups) Qualifications: + Education that enhances business office work skills. + Willing to work with distressed, diverse, and/or marginalized populations. + Passionate about serving. + Willing to function as a team player. + Capacity to multi-task in a fast-paced work environment. + Good written and oral communication skills. + Understand and follow the policies, practices, and procedures. + Demonstrated computer competency. + Driversu2019 license/insurance and be willing to operate a company owned vehicle.
