Role SummaryThe Commercial Operations Coordinator is an on-site, hands-on role critical to the operational lifecycle of the Oska Pulse device for veterans and other patients. This position supports everything from order intake and fulfillment to patient education, device preparation, and logistics.Working closely with clinical, outreach, and operations teams, the coordinator ensures patients receive the correct device, on time, with the necessary information for effective use. This role requires a strong sense of service, teamwork, and accountability. The work is execution-focused, supporting veterans and patients in pain with a non-invasive therapy in clinical and VA environments.Key Responsibilities Order and Fulfillment Operations- Process Orders: Intake and enter purchase orders (POs) into internal systems accurately. Partner directly with VA prosthetics and purchasing agents to receive, validate, and process POs. Ensure all PO documentation is complete, traceable, and properly recorded for VA compliance and audit readiness.- Shipping and Logistics: Coordinate all shipping activities: print labels, pack/prepare shipments, and track outbound and inbound devices. Resolve order discrepancies, missing documentation, or processing delays with internal and external stakeholders.Patient and Veteran Communication- Outreach: Call veterans and patients to confirm shipping addresses, coordinate delivery timing, and provide basic education on PEMF and Oska Pulse use.- Documentation: Answer operational questions related to shipments and device handling. Accurately document all communications in internal systems.Print Shop and Materials Support- Production: Set up and operate an in-office print shop. Print and assemble patient education materials, provider packets, and training/program materials.- Inventory: Maintain inventory of printed materials and supplies.Manufacturer Coordination and Inventory Management- Device Tracking: Coordinate with the Oska manufacturer on device inventory. Track inbound and outbound devices across new inventory, demo units, and warranty replacements.- Warranty: Support warranty workflows, including coordinating returns or replacements with the manufacturer.- Recordkeeping: Maintain accurate device inventory records (status and location). Support reconciliation between inventory records, shipments, and purchase orders.Administrative and Data Support- Data Entry: Perform data entry and recordkeeping related to shipments and inventory.- Compliance: Support internal audits and data quality initiatives. Assist with ad hoc operational projects as needed.Required Qualifications- 2+ years in operations, logistics, fulfillment, or administrative support.- Comfortable with hands-on, task-oriented work.- Strong organizational and follow-through skills.- Comfortable making outbound phone calls.- Basic computer proficiency (data entry, document handling).Preferred Qualifications- Experience in medical device, healthcare, or fulfillment operations.- Familiarity with shipping systems and inventory tracking.- Prior exposure to patient education or customer support.- Comfort working in a small, fast-moving operational environment.Work Environment Expectations- On-site in Charlotte, NC.- Regular interaction with physical devices and materials.- Combination of desk work, phone calls, and light physical tasks (packing, unpacking, organizing materials, and occasionally moving boxes).Key Competencies- Operational reliability- Attention to detail- Clear communication- Accountability
