Description We are looking for a highly skilled Executive Assistant to provide comprehensive support to senior leadership in Richmond, Virginia. In this long-term contract position, you will play a crucial role in managing administrative tasks, ensuring seamless coordination of executive activities, and maintaining professionalism in a dynamic and fast-paced environment. This position requires exceptional organizational abilities, discretion in handling sensitive information, and a proactive approach to anticipating the needs of executives. Responsibilities: u2022 Manage complex executive calendars, ensuring efficient scheduling and coordination of meetings, travel, and appointments. u2022 Facilitate travel arrangements, including booking flights, accommodations, and transportation, while ensuring cost-effectiveness and accuracy. u2022 Prepare, review, and refine executive-level documents such as reports, presentations, and correspondence with a high level of attention to detail. u2022 Organize and support executive meetings, board sessions, and special events by handling agendas, materials, minutes, and post-meeting follow-ups. u2022 Act as a key liaison between executives and internal or external stakeholders, maintaining confidentiality and professionalism. u2022 Monitor and prioritize tasks and deadlines, ensuring timely completion of deliverables and alignment across teams. u2022 Handle sensitive information with discretion, ensuring compliance with privacy and confidentiality standards. u2022 Assist with managing expense reports, tracking budgets, and processing invoices to support financial operations. u2022 Identify opportunities to streamline administrative processes and enhance overall executive efficiency. u2022 Provide proactive support by anticipating executive needs and addressing challenges before they arise. Requirements u2022 Minimum of 5 years of experience in providing administrative support to senior executives. u2022 Proven expertise in calendar management and travel coordination. u2022 Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration platforms like Teams and Zoom. u2022 Strong written and verbal communication skills, including the ability to handle executive-level correspondence. u2022 Exceptional organizational and time management skills with the ability to prioritize effectively. u2022 High degree of professionalism, discretion, and emotional intelligence. u2022 Experience supporting C-suite executives or board-level professionals is highly preferred. u2022 Ability to work independently in a fast-paced environment while managing multiple priorities.
