Fire Creek Company, a division of All Native Group and Ho Chunk, Incorporated, is seeking a Deputy Contract Manager / Office Manager to serve as the deputy to the Contract Manager and is responsible for daily administrative control, internal coordination, and continuity of operations for the SAG-U Vehicle Maintenance and Armored Support contract. This position ensures seamless execution of contract requirements, manages documentation and reporting workflows, and assumes full authority in the absence of the Contract Manager.Operating in a forward contingency environment, the Deputy/Office Manager ensures that contractual deliverables, personnel actions, compliance documentation, and communication with the Government remain accurate, timely, and fully aligned with Performance Work Statement (PWS) requirements.Essential FunctionsDeputy Contract OversightAct on behalf of the Contract Manager when designated, with authority to manage operations, personnel, and Government coordination.Monitor daily performance metrics to support maintenance readiness objectives, including Mission Capable (MC) rate compliance.Assist in oversight of preventive maintenance, corrective maintenance, MRU dispatch, armored vehicle sustainment, and fleet reporting functions.Support implementation and enforcement of the Quality Control Plan (QCP) and Safety Plan.Administrative & Office ManagementManage and translate the contract administrative office and ensure organized control of all contract records.Track and manage all contract deliverables in accordance with the contract. Maintain and translate document control for:Quality Control Plan (QCP) updatesSafety PlanWork PlanMaintenance logsFleet assessmentsStatus reportsIncident reportingEnsure version control and proper submission formatting (Microsoft Office 2013 or Government-specified format).Maintain contract files for required retention periods.Personnel Administration & Access ControlManage installation access documentation, badging, and access logs.Track background checks, training requirements (including PII training), and non-disclosure agreements.Maintain the Installation Access Log and ensure updates are submitted within required timelines.Financial & Logistics TrackingMaintain internal logs of invoicing support documentation.Track parts procurement documentation and maintain audit-ready records.Maintain tools & equipment ledger and Government-Furnished Property (GFP) inventory records.Risk Management & ContinuityMonitor administrative and operational risks (access delays, parts shortages, staffing gaps, software licensing issues, etc.).Maintain continuity binders and transition documentation for phase-in/phase-out requirements.Ensure all documentation supports audit readiness and Government inspections.Compliance & AccountabilityEnsure key control documentation and tool control logs are maintained.Track safety reports and ensure incidents are documented within required timeframes.Support environmental compliance documentation (hazardous materials logs, SDS tracking).CompetenciesMinimum three (3) to five (5) years of experience in contract administration, office management, logistics coordination, or Government program support.Experience supporting performance-based service contracts.Strong administrative management and document control skills.Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).Experience working in OCONUS or contingency environments preferred.Strong organizational, communication, and multitasking capabilities. Will conform to Ukraine’s policies around maximum work hours. TravelTravel is primarily local during the business day, although some out of the area travel and overnight may be expected.Security ClearanceNone required.
