Values : Perseverance, Integrity, Respect & Responsibility POSITION SUMMARY: Under the direction of the Principals, the High School Receptionist is responsible for providing general support to families regarding general school information and policy, redirect inquiries to relevant staff members where applicable. The Receptionist serves as the point person for all internal and external inquiries on matters pertaining to the high school. The Receptionist must be passionate about working with families in the City of Buffalo, enjoy working within a busy, mission-driven environment, and community oriented. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Receptionist must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion. ROLES AND RESPONSIBILITIES: + Ensure accurate attendance is taken and reported daily + Manage the tardy system and ensure daily tardy and attendance calls are made to families + Run attendance reports for AP + Follow up with excuse notes + Make announcements for staff and students + Articulates and supports school safety initiatives to the faculty and school community; enforcing building entry protocols. + Provide assistance to the 9-12 administration team + General administrative and clerical duties + Maintain a clean office area and faculty room + Printer support for faculty room and main office + Support administrative assistant with collecting and accounting for money collected in conjunction with student body funds, lost or damaged technology, staff lunch funds, and other school activities; account for and maintain the cash fund as assigned. + Maintain office supply cabinet and work with administrative assistants to ensure teachers have what they need + Answer all incoming calls + Support 9-12 mailings + Receive and sort mail + Update student files with relevant paperwork + Support afterschool events as needed with administrative assistant and principals + Assists the school principals in establishing and sustaining relationships with the community and other youth serving organizations to foster understanding and solicit support for students and their families. + Prepares related reports and records as required by Tapestry's district. + Provides information over the phone or in personal contacts with parents, students or school personnel as appropriate; route calls to appropriate personnel as necessary. + Communicates directly, and on behalf of the school principals, with staff, students, and families on matters related to high school initiatives. + Researches, prioritizes, and follows up on incoming issues and concerns addressed to the Principals, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response. + Works closely and effectively with both the Principal and Assistant Principal to keep them well informed of upcoming commitments and responsibilities, following up appropriately. + Manages internal electronic and physical filing systems. + Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures. OTHER QUALIFICATIONS: + Excellent interpersonal and customer service skills. + Excellent verbal and written communication skills. + Excellent time management skills and the ability to organize and prioritize work. + Proficient in Google Suites, or related software. EDUCATION AND EXPERIENCE: + High School degree required; additional qualification as an Administrative Assistant or School Secretary a plus. + Associate's or Bachelor's degree in Business Administration or related field preferred. + One to three years of experience in an office setting. PHYSICAL REQUIREMENTS: Work is performed primarily in an office environment, exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects. Repetitive motion including walking, bending, standing. Substantial movements (motions) of the wrists, hands, and/or fingers to complete typing, filing, and data entry. Required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading. Position requires talking, walking, driving, speaking and comprehension of complex matters.
