The Executive Assistant (EA) will need to be a tech savvy individual who directly supports the CEO and COO of the Aetna Better Health of Virginia Medicaid plan, located in Richmond, VA Responsibilities: u2022 Proactively managing/coordinating daily schedule/calendar, contacts, travel arrangements, meetings (internal and external), conferences, and seminars. u2022 Arranges and schedule numerous meetings; maintain and update calendar; determine importance of meeting requests and schedule accordingly; demonstrate flexibility, serve as first-line of defense with the high volume of communications of phone and email. u2022 Arrange travel and all accommodations including comprehensive and detailed itineraries. u2022 Process reimbursement and expense reports in accordance with established policy guidelines; track expenses and follow-up in timely manner. u2022 Provide a bridge for smooth communication; demonstrate leadership to maintain credibility, trust and support with senior management staff. u2022 Responsible for excellence in complex meeting/event preparation (AV, room scheduling, telepresence events, etc.), set-up, and follow-up including preparing presentations/agendas/materials, documenting notes, and coordinating follow-up items to completion, arranging for food/drink. u2022 Coordinate on-boarding and off-boarding of employees and consultants, including hardware installation request/repair, space planning, etc. u2022 Manage general office and administrative tasks, including ordering of miscellaneous supplies, renewing memberships and subscriptions, managing distribution lists, photocopying, faxing, deliveries, etc. u2022 Manage department files, including electronic document systems, intranet web sites, wikis, and web-based project management tools. u2022 Edit presentations, agendas, spreadsheets, communications, databases, and reports. u2022 Prioritize and track deliverables, manage project timelines, deadlines and requests. u2022 Participate in meetings, take notes and disseminate information to relevant stakeholders, including weekly email updates. Responsible for drafting and editing correspondence. u2022 Manage special projects as designated and assist other department members as necessary. u2022 Works appropriately with confidential information; always acts with discretion. Required Qualifications : u2022 10+ years administrative experience supporting senior leadership u2022 Advanced experience with Microsoft Office tools such as Word, Excel, Outlook and PowerPoint u2022 Project management experience is required u2022 Previous experience maintaining executiveu2019s phone, calendar, work and travel schedules using Microsoft Outlook Preferred Qualifications : u2022 Strong interpersonal skills, including a professional phone manner and in-person presence. u2022 Ability to work with and maintain confidential information. u2022 Experience taking detailed notes and extracting action items. u2022 Ability to understand priorities and adjust meetings and content appropriately. u2022 Ability to work both independently and collaboratively Education : Bachelor's degree or equivalent work experience. Anticipated Weekly Hours 40 Time Type Full time Pay Range The typical pay range for this role is: $22.59 - $49.04 This pay range represents the base hourly rate or base annual full-time salary for all positions in the job grade within which this position falls. The actual base salary offer will depend on a variety of factors including experience, education, geography and other relevant factors. This position is eligible for a CVS Health bonus, commission or short-term incentive program in addition to the base pay range listed above. Our people fuel our future.
