Leasing Clerk $25.38/hr. Days: 8.00 am 4.30 pm M-F We are seeking a motivated and detail-oriented Leasing Clerk to join our dynamic team. The ideal candidate will possess a strong understanding of property management and leasing processes, with a focus on customer service and relationship building. Candidate will provide clerical support to the staff of the Leasing, Occupancy and Compliance Department and front-line customer service to company s customers. Essential Duties and Responsibilities The position duties and responsibilities listed below describe the general nature and scope of work. Other responsibilities, duties and skills may be required and assigned, as needed. Receives pre-applications; meets with new applicants to determine eligibility for placement on various wait lists and award preference points with accuracy. Meets with applicants on various wait lists who report changes to the pre-application to ensure that all questions are answered and updated accurately. Answers telephones, makes appointments and schedules interpreters, routes calls, takes messages, and responds to inquiries or directs matters to the appropriate staff member. Maintains files and records for the department, which includes, but is not limited to: o Performs data entry and maintenance of various applicant and tenant records (i.e. reinstate, withdrawn, denial, and other general information updates) pertaining to the leasing process; prepares reports as required. o Assists Field ET s with printing and reviewing resident EIV s for MTW push annuals, and creating the MTW push 50058 in the resident record. o Enters records of all move-ins, denials, approval/return logs, lease add-on s, compiles information for entry onto various spreadsheets. o Reviews wait list audit reports pulled by Assistant Manager, performs necessary data entry corrections, and reports other findings and corrections back to management. o Creates and maintains applications and tenant files. o Maintains up-to-date and orderly files of withdrawn, return-to-waitlist, and denied applications. o Ensures move-in files are complete, checks lease and assembles the file in proper order to be sent to the field within 3 working days. Removes any criminal background checks, makes sure 50058 matches unit move in system. o Submits Bureau of Criminal Apprehension (BCA) documents to retrieve applicants criminal history information from various states. Tracks and obtains reports from fingerprints taken by staff from website. Prepares documents for denial hearings, reads hearing rules and assists applicants prior to hearing. Orders and maintains office supplies for department. Uploads all new admission paperwork to the resident Share Point file and ensures all documentation is entered into the correct folders with correct naming conventions after the lease up is completed. Assists with the processing of applications as requested by Management. Provides customer support to current and prospective applicants to assist with company's Portal registration questions, company's Portal site navigation, online application submissions, and other company's Portal functions. Monitors company s Portal dashboard and manages incoming submissions and is the point person for online communications through the portal. Assists Management with preparing company s Portal wait list purges, manually entering data for paper responses and reviewing data from incoming company s Portal responses. Sorts and distributes incoming postal mail to all departments within company; sorts and distributes faxes to department staff. Prepares daily outgoing postal mail utilizing postal machines. Assembles re-determination and MTW packets and letters for mailing to the field; initiates the certification workflow for the company s Portal; creates spreadsheets and schedules return deadline date with Property Management and field ET s. Copy and scan forms and documentation for department. Provides backup support to front desk Customer ervice Representative and assists with questions as needed.
