The incumbent will report directly to Administrative Specialist 2, SG-23 and will provide professional administrative and staff support to the Division of Law Enforcement statewide. The Administrative Specialist 1 will be responsible for managing and facilitating a wide variety of administrative duties and activities such as budgeting, personnel, purchasing, accounts payable, contracts and grants administration, revenue reconciliation, travel, business services and ancillary duties as appropriate.u2022 Performs backup duties for the Administrative Specialist 2 in all matters of fiscal management.u2022 Assist with authorization and approval of all purchase requisitions within the Division to procure needed items and services.u2022 Reconciles invoices and provides required documentation to Finance Bureau for reimbursement.u2022 Assists with authorizations of P-Cards and Travel Cards for sworn members and generates reports in SFS, SFS Analytics, and BETS when necessary.u2022 Assists in approval, tracking and monitoring of outstanding P-Card and travel expenses as well as purchase orders.u2022 Prepares P-Card reconciliations, approves transactions and conducts expenditure audits.u2022 Assists in preparation of requisitions for new police vehicles, ATVs, snowmobiles, UTVs, trailers, boats, and drones. Tracks monthly fuel charges.u2022 Assists with managing, tracking and processing incoming reimbursements from vendors or various security details throughout the State, such as film, TV or commercial shoots to marathons, bike races, car shows and concerts.u2022 Reconciles invoices and provides required documentation to Business Office or reimbursement.u2022 Supervises Program Aide, SG-13 who administers various state and federal projects in specific grant program areas including Governoru2019s Traffic Safety Committee (GTSC) and Department of Homeland Security and Emergency Services (DHSES)u2022 Under the Administrative Specialist 2 assist with all aspects and tasks related to Candidate Processing for the Park Police Officer Trainee positionu2022 Oversee Statewide recruitment to coordinate between Division Headquarters, HR, Public Affairs and Park Police zones. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanent in a NY HELPS title, employees may take part in any promotion examination for which they are qualified. Employees appointed via the NY HELPS program are restricted to promotional appointment until their position is covered into the competitive class by the New York State Civil Service Commission (CSC), or they otherwise obtain permanent competitive status.
