Description Overview We are seeking a hands-on A/V Specialist to support, optimize, and standardize conferencing experiences across its office environment. This role will focus on Zoom Rooms, conference room technology, and network-aligned A/V infrastructure to improve usability, reliability, and overall meeting experience. This is a highly visible, on-site role requiring strong troubleshooting skills, professionalism, and the ability to operate effectively in live meeting environments. Key Responsibilities Conference Room & A/V Support u2022 Provide day-to-day support for conference room A/V systems, including Zoom Rooms, cameras, microphones, speakers, and controllers u2022 Troubleshoot live meeting issues quickly and calmly under pressure u2022 Support both Zoom and Microsoft Teams environments where applicable u2022 Ensure consistent and reliable meeting experiences across all rooms A/V System Optimization & Standardization u2022 Evaluate current conference room setups and recommend improvements (camera placement, audio quality, room design, etc.) u2022 Identify inconsistencies across rooms (e.g., Zoom vs. Teams usage, setup variations) and drive standardization u2022 Improve usability for different meeting types (e.g., boardroom vs. town hall formats) u2022 Optimize noise suppression, microphone pickup, and overall audio clarity Infrastructure & Networking Alignment u2022 Partner with IT/network teams to support A/V infrastructure (including Meraki environments) u2022 Understand and work within VLAN and network segmentation considerations (e.g., segregating conference rooms onto dedicated networks) u2022 Assist in diagnosing connectivity and performance issues impacting conferencing Onsite Support & White-Glove Service u2022 Provide high-touch, u201cwhite gloveu201d support for executive and critical meetings u2022 Be present and proactive in supporting users, including joining meetings early to ensure readiness u2022 Build relationships with onsite stakeholders and act as a trusted A/V resource Documentation & Process Improvement u2022 Create and maintain documentation for conference room setups, standards, and troubleshooting guides u2022 Establish work standards for A/V support and room configurations u2022 Maintain device inventory, labeling, and lifecycle management (refresh schedules, updates, etc.) u2022 Contribute to ITSM knowledge base (e.g., service management documentation for recurring issues and resolutions) Continuous Improvement & Thought Leadership u2022 Provide recommendations on how to improve conferencing experiences across the organization u2022 Evaluate current tools, configurations, and vendor setups; identify gaps and opportunities u2022 Bring structured, scalable ideasu2014not just reactive fixes Additional Skills & Qualifications Required u2022 3u20136+ years of experience supporting A/V or conferencing environments u2022 Hands-on experience with Zoom Rooms (required) and familiarity with Microsoft Teams u2022 Strong troubleshooting skills in live meeting environments u2022 Experience with conference room hardware (cameras, microphones, controllers, soundbars, etc.) u2022 Basic understanding of networking concepts (e.g., VLANs, connectivity troubleshooting) u2022 Ability to remain calm and professional under pressure u2022 Strong onsite presence and communication skills Preferred u2022 Experience in a corporate or life sciences environment u2022 Familiarity with Cisco Meraki environments u2022 Experience supporting executive meetings or high-visibility environments u2022 Exposure to ITSM tools and knowledge base development u2022 Experience standardizing A/V environments across multiple rooms Job Type & Location This is a Contract position based out of Waltham, MA. Pay and Benefits The pay range for this position is $40.00 - $55.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
