Description We are looking for a highly organized and detail-oriented Finance Administrative Assistant to join our team in Albany, New York. In this role, you will provide essential support to the Accounts Payable Coordinator, ensuring the smooth processing of invoices, payments, and financial documentation for our Programs. Your ability to manage multiple tasks, maintain accurate records, and provide exceptional customer service will be key to your success. Responsibilities: u2022 Assist the Accounts Payable Coordinator with tasks related to the Programs, including invoice processing, verification, and maintaining agreements with providers. u2022 Input invoices and general ledger data into fund accounting software, ensuring accuracy and appropriate approvals. u2022 Verify payment documents for completeness and accuracy, including calculations and required signatures. u2022 Resolve disputes with providers and vendors regarding invoice discrepancies. u2022 Update and maintain files for families, children, and providers in both paper and digital formats. u2022 Track and process scholarship payments, ensuring timely disbursement to providers. u2022 Collaborate with the team to streamline payment processes and maintain efficiency. u2022 Prepare and organize invoices and checks for signature, mailing, and compliance with state reimbursement claims. u2022 Create and manage spreadsheets and reports to support financial operations. u2022 Provide documentation and assistance during annual audits, including organizing invoices and payment records. Requirements u2022 Exceptional organizational skills with keen attention to detail and accuracy. u2022 Proficiency in handling numerical data and performing calculations with precision. u2022 Ability to work independently and collaboratively within a team environment. u2022 Experience using online database tools for client management and service. u2022 Strong verbal and written communication skills for client-facing interactions. u2022 Proven ability to manage multiple projects and prioritize effectively. u2022 Self-motivated with critical thinking and problem-solving capabilities. u2022 Commitment to delivering high-quality results and maintaining accountability.
