The role serves as the central coordinator for surgical patients, guiding them through all phases of care while ensuring they receive clear education, timely instructions, and consistent support. Responsibilities include managing and scheduling all procedures within the assigned specialty, securing required imaging, diagnostics, and medical clearances, and overseeing ultrasound surveillance workflows. The position tracks outstanding tests to prevent delays, coordinates dialysisu2011related needs for vascular access patients, and works closely with prior authorization and coding teams to secure approvals and streamline billing workflows. It requires frequent communication with surgeons, APPs, OR staff, hospitals, dialysis units, and imaging partners to align care. Additional duties include assisting with referral triage, documenting all interactions in the EMR, identifying workflow gaps, maintaining efficient clinic flow, monitoring physician schedules, and analyzing productivity and quality metrics. The role also supports the development of new clinical programs and fosters strong communication and collaboration across the organization. A Day in the Life u00b7 Serve as the primary point of contact for surgery patients in the assigned specialty, providing education, instructions, and support through their pre-, peri- and post-operative care; u00b7 Coordinate all procedures and surgeries related to assigned specialty, ensuring required imaging, testing, and medical clearances are completed; u00b7 Schedule surgeries and procedures according to surgeon protocols and facility availability; u00b7 Coordinate ultrasound surveillance workflows, including AAA surveillance tracking and follow-ups; u00b7 Track outstanding diagnostics (ultrasounds, CTAs, ABIs, labs) and follow up to prevent delays in care; u00b7 Coordinate dialysis-related needs for vascular access patients, including communication with dialysis centers and surgical planning, if assigned to the vascular specialty; u00b7 Work closely with prior authorization and coding support staff to ensure timely approvals; u00b7 Collaborate with designated team members to align workflows for authorizations and billing support; u00b7 Communicate with surgeons, APPs, OR staff, hospitals, dialysis units, and imaging partners, etc. to coordinate patientsu2019 care; u00b7 Support the screening and triage of incoming referrals in collaboration with providers to ensure timely evaluation; u00b7 Document all patient interactions, requirements, and scheduling details in the EMR; u00b7 Assist patients in navigating barriers, understanding next steps, and preparing for surgery; u00b7 Assist in identifying workflow gaps electronic health records system issues and opportunities for process improvement; u00b7 Maintain efficient clinic flow and cover work as needed; u00b7 Monitor physiciansu2019 schedules to confirm accuracy in patient scheduling and plan staffing needs accordingly; u00b7 Analyze productivity, quality of patient care and adherence to safety regulations of area and provide recommendations as needed; u00b7 Support vascular physicians in planning, implementing and coordinating new clinical programs and patient care initiatives. u00b7 Use Electronic Health Records to pull reports and review data; u00b7 Develop and maintain effective communication within the organization; u00b7 Collaborate with other administrative level staff within the organization. Requirements u00b7 Certifications/Education o High School Diploma/GED; u00b7 Experience: o One (1) year of experience working in a medical office to gain understanding of medical terminology and workflows; o Six (6) monthsu2019 experience working in a back-office position in a medical setting (medical assisting, nursing assisting, casting, etc.); o Six (6) monthsu2019 experience scheduling complex medical procedures (such as surgeries, MRI images, etc.). Preferred Qualifications u00b7 Knowledge of medical terminology specific to vascular surgery.
