Position Overview Oversee the activities of the students in the Clinical Practice Area and provide clerical support to practice area. Duties and Responsibilities Answer phones; maintain appointment book and schedules via computer; handle patient records and patient emergency calls; monitor student attendance; maintain patient recall system; assist and mentor student daily activity; provide orientation to new students; order supplies; process mail and provide direct dental assistance when needed. Answer phone calls for students and faculty from patients, being responsive to queries, questions and complaints, taking accurate messages and directing unresolved complaints. Maintain axiUm appointment book and schedules including posting student daily schedule and scheduling patients. Work with the patient records coordinator to request and return patient records and process paperwork for new patient assignment, patient transfer, patient inactivation, and patient recall. Reconcile student patient treatment and financial balances electronically. Monitor student attendance and record in axiUm. Maintain patient recall system, including: scheduling appointments; sending postcards; assisting sophomore students in the treatment of maintenance recall patients; keeping records; purging old recall files and scheduling emergency treatment patients. Assist, mentor and observe student daily activities including: assigning patient files; communicating information; advising about patient management, patient charts, fee schedules, paperwork and computer related concerns. Under the Group Leader’s direction, audit patient charts for graduating seniors by assuring all dental work has been properly documented and paid in full; making sure that patient charts are inactivated or transferred ; recording the audit and processing related paperwork. Audit patient charts at the Group Leader’s direction, transferring and/or inactivating patient as appropriate. Provide orientation and orientation materials to new students regarding group and clinic procedures. Screen and assign patient emergency calls. Serve as a liaison between student and patients, and between students and faculty. Order office supplies using the MUSoD Dental Store procedures. Sort and distribute mail. Attend meetings, training sessions and seminars as directed by supervisor. Perform any and all related duties as required or assigned including direct dental assistance. Required Knowledge, Skills and Abilities High School education plus knowledge of dental terminology and patient management skills is required. Familiarity with word processing software is also required. Must have a pleasant demeanor and excellent customer relation skills. Bilingual in Spanish a plus. Must be flexible, able to work and communicate with people from a diverse population and have the ability to work independently with little supervision and constant interruptions in an environment that can often be stressful. Must be CPR certified or become certified within 6 months of employment. Preferred Knowledge, Skills and Abilities Bilingual in Spanish. Previous experience working in an academic setting helpful.
