Job DescriptionCandidate will be required to work Eastern Time Zone. As a Communications Department Executive Assistant, you will manage the administrative needs of three Vice Presidents in Enterprise Communications. In this role, the Executive Assistant must be a motivated self-starter with the ability to work independently with limited direction and supervision. This position requires a proactive approach to taking on responsibility and a willingness to tackle assigned and non-assigned duties.Responsibilities: Manage administrative needs including: complex calendar scheduling, meeting attendance and minute preparation, preparing PowerPoint presentations as needed, project coordination and interfacing with other leaders/stakeholders, email responses Plan travel arrangements and handle travel expenses Manage and approve expenses on behalf of Communications VPs Coordinate occasional offsite team meetings, including coordination with internal and external resources for services such as catering, hotels, activities, presenters WebEx/video/conferencing/streaming Assist with onboarding new hires to these teams, including ordering equipment and setting up onboarding plans for direct reports to these VPs. Assist with offboarding termed employees. Provides some general broader administrative tasks for direct reports of VPs, e.g., having access to calendars as needed for scheduling, equipment ordering, onboarding, etc. Interacts with internal and external constituents in a way which promotes our values and represents the culture of the company Often acts as a point of contact for urgent business needs and assists to identify issues for escalations, communicating and ensuring that the leadership and executive team is well informed Manages workflow for incoming items to ensure that issues are directed to the appropriate area (particularly in Manager's absence). Monitors status of delegated items to ensure closure. Majority of work involves confidential business material Maintains department organization charts and distribution lists.Required Qualifications Minimum of 6 years of experience as an Executive or Administrative Assistant supporting executives at a large matrixed organization 5 years of advanced experience working with Microsoft Office Products - Excel, Word and PowerPointCOVID RequirementsCOVID-19 Vaccination RequirementCVS Health requires certain colleagues to be fully vaccinated against COVID-19 (including any booster shots if required), where allowable under the law, unless they are approved for a reasonable accommodation based on disability, medical condition, religious belief, or other legally recognized reasons that prevents them from being vaccinated.
