Our client a very prestigious Private Equity firm is seeking to hire a Temp to Perm Executive Assistant in their New York City office. This EA will provide support to senior executives and their team, in total about 6 people. The Executive Assistant will act as a thought partner and right hand to direct reports. Responsibilities will be complex and require the utmost level of discretion and independent judgement. The ideal candidate must exhibit exceptional organizational skills, strong written and verbal communication, and maintain a high level of professionalism. This role is in office Monday - Friday working from 830am - 530pm.Responsibilities:Provide administrative support to senior executives and their team. This involves determining priorities independently, making decisions with little or no guidance, short-term and long-term planning, handling confidential information, exercising discretion, and understanding complex business municate effectively to ensure executives, internal clients and external constituencies are informed and updated about meetings, events, etc.Answer and direct phone calls. Proactively manage detailed and demanding schedules and Outlook calendars; schedule calls, meetings, conferences, restaurant reservations, personal obligations, and board meetings, etc.Arrange heavy complex domestic and international travel logistics; including ground transportation, flights and hotel accommodations.Coordinate in-house and off-site meetings and events for small and large groups (including accommodations, transportation, catering, etc.).Coordinate office logistics. Maintain office space, order snacks and office supplies, manage conference room reservations, liaise with building, etc.Negotiate and execute contracts on behalf of senior executives/the firm.Process monthly expense reports accurately and in a timely fashion. Experience in Concur a plus.Assist with research/various ad-hoc reports. Prepare and review materials as needed.Function as part of dynamic, collaborative administrative team: One team philosophy. This includes providing backup coverage for other administrative assistants.Provide occasional personal assistant support to executives, ie. personal appointments, assist with medical claims, assist with personal travel.Requirements:Bachelor's Degree preferred but not requiredPrior experience in supporting senior executive(s) in Finance or related industryStrong team player who can work independently but also function as part of a dynamic and collaborative team of adminsAttention to detail, accuracy and follow-upSuperior interpersonal skills, proven ability to influence, develop relationships and work with a diverse group including key external portfolio companies, peers and constituents as well as senior level managementTeam player with the ability to work collaboratively with administrative teams across global officesHighly developed written and verbal communications skillsAbility to work well under pressure, manage multiple assignments and personnel, prioritize workload and maintain composure under pressure; take initiative and possess a business-orientated, entrepreneurial mindsetDemonstrated ability to exercise confidentiality, discretion, maturity and good independent judgementHigh proficiency with MS Office suite skillsExceptional integrity, professionalism and characterHighly developed problem-solving skills and demonstrated critical thinking abilityProven ability to build relationships at all levels Compensation:Paying 110K - 125K DOE + Discretionary Bonus + 401K Match + Free Lunch + Fully Paid Medical/Dental BenefitsBeacon Hill is an Equal Opportunity Employer that values the strength diversity brings to the workplace.
