S:US’ Development and External Affairs team works collaboratively with Board members, executive leadership, program, and finance staff to build internal and external relationships, raise funds, and increase the organization’s visibility. The team includes staff members working in the areas of fundraising, marketing and communications, and volunteer management.The Development and External Affairs Coordinator will primarily be working with the fundraising staff members, whose focus is increasing individual donations and foundation and corporate grants, and strategically positioning S:US for future contributed revenue growth. The fundraising team is responsible for ensuring the philanthropic support that is vital to S:US’ ability to provide essential, innovative services and ensure excellence.SCOPE OF ROLEThe Development and External Affairs Coordinator is responsible for managing and entering all data in Raiser’s Edge as well as providing administrative support to the Development and External Affairs team. Proficiency in Raiser’s Edge and NXT is required for this position. Responsibilities include but are not limited to: processing all donor gifts and pledges; organizing and drafting correspondence, including acknowledgment letters; assisting with fundraising and cultivation events; managing Raisers Edge database, including but not limited to producing fundraising-to date-reports and pulling donor lists; and undertaking various administrative and clerical duties.The Development and External Affairs Coordinator also will work closely with Communications and Marketing to ensure email marketing best practices are adhered by conducting list updates in Constant Contact, and will monitor and manage social media donations.ESSENTIAL DUTIES & RESPONSIBILITIESFundraisingServe as first point of contact for donor inquiries and handle regular donor correspondence, including full responsibility for the timely processing of donor acknowledgements.In partnership with the Director of Development, facilitate mail and email appeal efforts, including making key decisions around strategy, segmentation, scheduling, copy, and budgeting.Support Chief Development Officer, Director of Special Events, and Director of Development in their fundraising, cultivation, and stewardship efforts.Perform prospect research on individuals, foundations and corporations.Perform other duties as assigned.Database ManagementManage Department database with primary responsibility for gift and pledge data entry, gift acknowledgements, pledge maintenance, volunteer hour data entry, and inconsistent data clean up.Manage quality control in Raisers Edge database and in integrations with other platforms (e.g. Constant Contact).Generate financial reports and performance analysis for the department, board, and finance department - including monthly fundraising reports, year-to-date tracking and revenue projections.Advise colleagues on best practices relating to data integrity.Advise team members on database navigation.Reconcile with the finance department on a regular basis to ensure data accuracyDocument policies and procedures for proper maintenance of data. Perform other duties as assigned.AdministrationManage and maintain department files to ensure accessibility and accuracy of recordkeeping.Handle all administrative tasks, including, arranging and set-up of all departmental meetings (i.e.; prepare and distribute agendas, collateral materials, and/or food arrangements, etc.). Prepare and distribute agendas and take notes during meetings.Keep track of department finances, including check requests, credit card reconciliation, budget, invoicing, and reporting, and other duties, as assigned.Manage the S:US general mailbox on a daily basis, answering inquiries, routing messages to the appropriate person or team, as well as escalating time-sensitive requests to Director, Communications and Marketing and/or Program Leadership team.The salary range for this position is $50,000 to S60,000 commensurate with experienceREQUIRED EDUCATION, EXPERIENCE, AND QUALIFICATIONSUndergraduate Degree preferredStrong knowledge of database management; 2+ years of experience using Raiser’s Edge required, as well as proficiency in NXTProficient in MS Office applications (Word, Excel and Outlook).3+ years of non-profit experience, including responsibilities for data administration, management and reportingExperience with building and maintaining donor and community relationshipsUnderstanding and experience with data integrations between Raiser’s Edge and donation processing and/or email marketing software preferredAbility to prioritize and successfully manage several projects while communicating regularly with other colleagues on the team.Ability to communicate effectively and interact professionally with colleagues, donors, vendors and board members.S:US IS AN EQUAL OPPORTUNITY EMPLOYERJoin a team of employees who cares about the wellbeing of others.
