Job Description Job Description Setting new standards for industrial process automation solutions in the metropolitan New York City tristate area, Control Associates, Inc. is a premier provider of process automation systems & software, valves, measurement solutions, pressure management, asset reliability and data management solutions. We are looking to hire a Service Coordinator to work out of our headquarters in Allendale, NJ.Established in 1933, Control Associates along with its global process automation business partner, Emerson, specializes in supporting the process control equipment and service needs of the following industries: Life Sciences, Natural Gas Distribution & Transmission, HVAC, Power, Chemical, and Downstream Hydrocarbons.Role: This resource will respond to and actively process the Service Order requests that CAI receives and follow formalized steps in providing competitive Purchase Orders/responses directly to our customers. Normal Working Hours: Monday through Friday 8:00 AM to 5:00 PM. Reports To: Service Proposal ManagerResponsibilities:Service Engagement QuotationsCoordinate with Account Management to provide competitive and accurate quotes that adhere to various customer requirements and expectations.Verify material and labor resource availability and costs with our vendors prior to quote generation.Work with Sales to determine if quote requires any "complementary services" or "safety equipment" needed for our team to efficiently satisfy the service request.Work with Business development on potential client growth strategies, through analysis of customer Service Order data.Service Execution· Promote high levels of customer satisfaction with the proper/complete execution of customer Service Orders. · Review customer purchase orders for compliance with our quotations, resolve discrepancies between the purchase orders and quotations, and process those orders.· Review all vendor purchase orders against customer orders for any discrepancies and update appropriately.· Confirm vendor shipment dates for parts, monitor order status for changes, notify customer and internal team of any date changes, and update any changes in IFS, (our ERP tool).· Contact customers prior to scheduled service orders to reconfirm all details and execute checklist of tasks required, prior to commencement of work.· Utilize IFS and other tools to schedule technicians for various service engagements.Revenue Recognition and Asset Management· Record customer device information and repair history in IFS and build a customer service history.· Coordinate with CA and vendor technicians to ensure that final material and labor costs are entered accurately prior to invoicing customer.· Provide the Account Manager with a comparison of quoted and actual costs, and when needed provide customer specific information to create a change order.· Update customer change orders in IFS when required.Prerequisites: Must have earned an associate degree and/or 2+ years in a customer-facing role.Must possess strong computer skills including extensive experience with Microsoft Office Suite, especially with Excel Any prior work experience with any ERP tools is highly regardedMust have excellent communication skills, (verbal, written and electronic) will the ability to effectively communicate with all levels of an organization (internal and external)Excellent attention to detail skills is required.This resource will be formally trained in the CAI operating system and fundamental product knowledge.Please note that work visa sponsorship is not available for this role.This is a direct placement position; third party contracts are not available.Control Associates, Inc. offers a competitive base salary with a performance driven bonus.Excellent benefits, including multiple medical plan choices, vision, and dental insurance with coverage for both employees and dependent family members.
