Job Description Job Description Under the supervision of the Property Manager, The Assistant Property Manager will assist in all aspects of the administration and property management of the building with the goal of enabling residents to live permanently, safely and as independently as possible.Responsibilities:Supervise front desk personnelEnsure that 24-hour shifts are covered as per union contractMaintain all leave time requestsEnsure that all supplies including forms are maintaintedEnsure the personnel are cleaning and maintaining front desk areaCo-supervise maintenance staff, and administrative staffAssist manager in maintaining active personnel files -vacation requests, sick leave, personal timeProcess timesheets and submit them in a timely mannerAssist manager with staff meetings, tenant/staff complaints and performance evaluations when neededResponsible for taking an maintaining minutes of all meetingsAssist manager with social service staff interfaceCoordinate with social service staff on various tenant issues including arrears, housekeeping, disruptive behavior, room maintenance, monthly tenant meetings, etc.Ensure the social services department receives copies of all incident reports, tenant lists and management letters to individual residentsAct as liaison between tenants and staff in building manager's absence.Management office:Maintenance and distribution of all management office lists related to tenants, vendors, staff and misc documentsPreparation and distribution of exterminator list to front deskOrdering supplies when needed (key blanks, appliance parts, office, cleaning)Document vendor repair workMonitor vendor filesMaintain certificates book / log. Must ensure all inspection certificates and equipment inspections are current and have not expiredPerform move-ins, move-outs, rent changes, activity notes and legal updates on Real PageAssist manager with maintaining monthly, quarterly and yearly reportsBuilding maintenance:Assist manager and superintendent with the general maintenance function of the premises including but not limited to the following;Tenant room inspectionsDaily, weekly, monthly, yearly checklists of maintenance tasks for use by maintenance staffConduct regular inspection of boiler, elevator, fuel storage tanksMaintaining clear identification of all building systems, plumbing valves, sprinkler standpipes, etc.Rent collection / Arrears and payroll distributionEnforce recycling and garbage regulationsKeep orderly and stock maintenance suppliesPickup coin exchange and assist in verifying amounts receivedMake bank deposits weekly or as needed.Sunday - Thursday 9a-5p35
